Position Summary
The Health Information Integrity Supervisor facilitates maintenance of critical indices, dictionaries, reports and scorecards integral to the function of clinical and administrative information systems controlled or supported by the Health Information Management service line.
The Supervisor, Health Information Management manages the Health Information Management (HIM) Department functions related to record completion and document imaging.
This position contributes to the goals of the department by developing and managing procedures and processes to meet regulatory and organizational requirements for timely medical record completion, medical record integrity and document imaging.
The Site Supervisor possesses a thorough understanding of regulatory requirements, the HIPAA Privacy Rules and hospital and departmental policies and procedures.
This is a working supervisory role.
The incumbent is responsible for planning, organizing, and supervising all aspects of the scanning and document retrieval Health Information Management (HIM) Department; manages operations to ensure maximum productivity and quality standards are met and is responsible for adjusting work assignments as needed to cover peak periods, leaves, and vacancies.
They will also have the responsibility to prioritize work to ensure the daily completion of scanning and document retrieval tasks.
Essential Job Functions/Accountabilities Understands and knows team processes and procedures while ensuring the highest level of quality.
Continuous review and evaluation of workflows in order to streamline and improve processes regularly which allows HIM to become more efficient and to avoid stagnate workflows.
Manages workflow among Health Information Management Department to ensure maximum productivity, compliance, and quality standards are met.
Schedules and monitors staffing to ensure efficient record flow and scanning timeliness.
Adjusts work assignments, as needed, to cover peak periods, leaves, and vacancies.
Prioritizes work to ensure completion of scanning and document retrieval.
Additionally, acts as an individual contributor as needed and provides coverage for scanning and document retrieval tasks.
Processes transcription edit reports.
Assists Physicians, Clinicians with dictation issues, questions.
Communicates with the Manager, Health Information Management concerning the completion of delinquent records.
Assist Physicians/ Clinicians with questions surrounding the completion of incomplete record documentation.
MPI, Provider Dictionary, Patient Portal and Related Data Integrity: Works closely with operations, Medical Staff, Clinic and Hospital leadership to facilitate timely, accurate, complete index, dictionary and database entries related to patient and provider identities in accordance with state, federal and accreditation agency regulations and standards.
Communicates trends and issues with the Billing team and other departments to support the goals and success of the Revenue Cycle.
Under the supervision of Health Information Management leadership, works with Patient Access Services and ancillary departments to actively pursue, identify, develop and implement strategies to improve the efficiency and accuracy of patient information collection to reduce duplicates and errors.
Reports, Statistics and Metrics: Works closely with Health Information Management and Revenue Cycle leadership to facilitate timely, accurate, professional reports, statistics and metrics associated with service line performance both within and outside of the HIM Department.
This includes but is not limited to collation of both internal and external scorecards, reports and dashboards on a regular and ad hoc basis.
Effective Strong Leadership Responsibilities: Displays strong leadership skills within the scope of job responsibilities, duties, and tasks as assigned and displays excellent ACT service skills (A–Accountability, C–Competency, and T-Teamwork).
Supports, participates and inspires engagement in team and department initiatives and maintains current knowledge of standard policies and procedures, remains abreast of new policies and information systems, and recommends updates and revisions of HIM policies for the department and team regarding new technology and changes.
Involved in development, performance management and continuous recalibration of staff; ensures appropriate staffing levels and resource allocation; performs administrative tasks associated with timekeeping, pay, performance management, policy administration and other matters related to employment.
Assesses staff and provides timely and consistent feedback regarding technical proficiency and effectiveness.
Provides constructive feedback, guidance, and reinforcement to employees regarding job performance.
Works with staff to identify work goals and create individual development plans.
Evaluates training programs to ensure content meets staff needs.
Assigns work fairly and equitably to team and reviews staff productivity while maximizing staff during their 8 hour shift.
Serves as the first line of training for new hires and transfers to the department by assuring new hires are properly trained on all departmental policies and procedures, processes, and information systems and completes new hire progress evaluations Conducts ongoing staff education and cross training for direct reports and leads team meetings.
Remains available for work adhering to attendance standards and for team providing coverage and support while setting the example for the team utilizing leave in a manner that consistently supports effective job performance.
Audits: Performs both regular and special audits related to specific clinical documentation, business operation or regulatory requirements.
Maintains appropriate audit support documentation.
Provides summary and detail of audit findings as appropriate for further action and review.
May facilitate or participate in performance improvement initiatives and related monitoring as appropriate.
Serves as a member of appropriate hospital and medical staff committees as requested/designated by the Director of Health Information Management; Maintains current knowledge of applicable federal and state privacy laws and standards.
Serves as information privacy consultant to the organization for all departments.
Abides by the AHIMA Code of Ethics All other duties not specifically assigned.
Position Requirements Education: College degree or progress towards degree, preferred.
Experience: Minimum of five (5) years of full-time hospital HIM work experience with breadth of hands-on responsibility for a variety of functional HIM areas (such as scanning, indexing, release of information, chart completion, etc.
); Minimum of five (5) years of full-time experience managing MPI, EMPI, provider dictionary and related systems required.
Three (3) to Five (5) years of demonstrated leadership and management experience required; Prior experience in hospital HIM supervision preferred.
Technical Skills: Must have strong interpersonal skills, be able to solve problems and think independently; must possess computer skills, knowledge of basic office equipment, fax, copiers and printers.
Must be detail oriented and organized.
